Processes

This page documents our standard operating procedures (SOPs) for common tasks.


Client onboarding uses Google Workspace and Stripe. Client files and project assets are stored in the Clients shared drive.

  1. Create client in Attio

    • Add company and contact details
    • This automatically creates a Stripe customer via our integrations
  2. Execute contracts in Google Drive

    • Copy contract templates from Business > Client Contracts > Templates
    • Fill in client-specific details
    • Send for eSignature via Google Docs
    • Save signed contracts to Business > Client Contracts > Clients > [Client Name]
  3. Set up client folder

    • Copy the Template folder from Clients shared drive
    • Rename to client name
    • Structure: Project Overview, Deliverables, Working Documents, Meeting Notes, Resources
  4. Set up billing in Stripe

    • Create invoices directly in Stripe
    • Invoice numbers are auto-generated
    • Link to Attio record for tracking
  5. Schedule kickoff

    • Book kickoff call via calendar
    • Add notes to client folder

  • Review active projects
  • Update task status and priorities
  • Check upcoming deadlines
  • Prepare client updates
  1. Deliver final deliverables to client folder
  2. Send final invoice through Stripe
  3. Request testimonial/case study (if appropriate)
  4. Archive project folder in Clients drive
  5. Update Attio status to “Completed”

Use Gmail labels:

  • Clients/[Client Name] - Client correspondence
  • Admin - Administrative emails
  • Finance - Invoices, payments, banking

  • Review relevant context and notes
  • Start Granola recording (client calls)
  • Have agenda ready
  • Let Granola capture the conversation
  • Note any action items as they come up
  • Confirm next steps before ending
  • Review Granola transcript and notes
  • Send follow-up email with action items
  • Update tasks in the project tracker
  • Log key details in Attio if relevant
  • Save meeting notes to client folder
